Please don't follow this email advice

I don't know why I still keep the Inc. site in my feed reader, (remember feed readers?), because about 80% of the articles are inane '5 Ways to Crush XYZ process' or 'Celebrity ABC in one sentence gave us a master class in leadership'. Awful. 

So it was with a kind of hate read perspective that I clicked through my Feedly link to this latest gem from Inc. - A study of 386 million emails says this is a perfect time to send an email'. As I mentioned, I clicked ready to hate the piece, and hate it I did.

Here are the four pieces of Email advice which drive increases in email open and reply rates that Inc. gleaned from a study of 386 million emails sent by the provider Yeswar. I will list each of the four, and because you demand no less, provide my thoughts one by one.

1. Open with a short, direct informal greeting. 'Hey' seems to work best

SMB - Short and informal seems fine to me. But I don't like 'Hey' unless it is with someone you have a fairly deep work history with. I know this is quibbling, but can we go with 'Hi' instead? And never, ever lead with 'Greetings'.

2. End with gratitude. The three word phrase 'Thanks in advance' had the highest response rate.

SMB - I am pretty sure 'Thanks' would do. I actually prefer the slightly more formal 'Thank you' as it also feels more personal at the same time. And the 'Advance' part also feels a little like you are trying to guilt me into doing something - responding, taking some action, etc. Again, I know I am quibbling here. But it is my blog, so so there.

3. Save your important emails for the weekend, if possible, when there is less competition 

SMB - Now you have gone and done it Inc. You have ticked me off. Your advice to get more attention and get noticed is to pile in to the days when most folks are taking a sanity break from the incessant demands of email. Sure, the data may tell you this is the right thing to do in order to get a few percentage points increase in open rates, but is that worth infringing on most people's days off? Does anyone really want to read even more email on the weekend?

4. If you can swing it, send emails between 6AM and 7AM, or else around 8PM

SMB - Assuming they still mean to send said emails on thw weekend, to me, it doesn't really matter what time on the weekend you hit 'send'. For most folks, weekend emails are just going to accumulate into a mass of 'unread' stuff that you have to wade through on Monday morning, (or I suppose, on Sunday night, if this data can be trusted). 

A few year ago someone advised me to send 'important' work-related emails, at least to people who are tough to get to respond to messages, on Sunday nights, for the same kinds of reasons that were pointed out in the Inc. piece. While the advice, at least according to this data, might be good, I didn't follow it back then, and I am not following it now. 

I just don't want to be the person who hits you up with an email.at 7PM on a Sunday night, a time where for most of us we are taking a little break, spending time with friends or family, working on our own projects, or even just zoning out with some Netflix. I just don't want to assume that my message is valuable enough to infringe upon 'your' time. Your Executive Time even.

Ok, that's it, I am out. Time to have a look at the unread email that came in over the weekend. I will admit to not checking it over the weekend. Take that, Inc.

Ithaka

Nothing but our own fear

I was at the Globoforce WorkHuman Conference earlier in the week, and one of the more interesting aspects of this conference from the many that I attend in the course of the year is Globoforce's willingness to showcase speakers and topics that are not necessarily 'on the nose' with their specific set of technologies and solutions.

Most conference, especially vendor user conferences, tend to be super-focused on product - what's happening with the product, what new features are being developed, which companies are adopting the product, how can you learn to use the product better - you get the idea. And that makes perfect sense for vendor user conferences since the one unifying element that generally is the purpose and the binder for the event itself is the actual product. No products, no users, no user conferences. Pretty simple.

And while there was certainly some of that product related content at the Globoforce event, it did not seem at all like the primary reason for the event, and the driver for most attendees to take the time to be there. Globoforce and the community of folks at the event did (mostly) seem to be there for a more general, conceptual, and different reason - the idea of making work more 'human.'

What can make, or should make work more 'human' is at the same time a simple and kind of complex topic, (and not the same for everyone). I wrote about my ideas on this a couple of weeks back, so I won't go into them again here. But by making this non-product centric concept the central theme of your user conference, it frees up the organizers to make some interesting choices in terms of speakers and topics.

For me, one of the highlights of the event was a wide ranging Q and A session with the legendary actor Michael J. Fox. In the Q and A, Fox shared really openly and passionately several stories from his long acting career as well as his well-known and continuing battle with Parkinson's disease.

The conversation was full of gems, (like Fox lost out to Matthew Broderick for the lead role in one of my favorite films, 'War Games'), but the below quote, (which I tweeted of course, because that is what you do), was for me the idea that I am pretty sure I won't soon (if ever) forget.   

 

For some context, Fox was asked about if was ever scared or afraid of his condition and the ongoing battle with Parkinson's when he made the observation about fear - his lack of fear and the fear he senses others see when they talk with him about his condition.

This observation also reminded me of my single favorite Star Wars quote. Yes it is from Yoda, and no it's not the worn out 'There is no try' line.

The one I am thinking of is from The Empire Strikes Back from the part of the film when Luke is on Dagobah to train with Yoda and learn about the Force. 

Here's the setup and the line from Yoda (thanks IMBD).

Luke: There's something not right here... I feel cold. Death.

Yoda: [points to a cave opening beneath a large tree] That place... is strong with the dark side of the Force. A domain of evil it is. In you must go.

Luke: What's in there?

Yoda: Only what you take with you.

The 'fear' Michael J. Fox talked about was our fear, not his.

The 'evil' in the dark side cave wasn't really in there, rather it is carried in there by the seeker him or herself.

I think we often forget that most of our fears are within us. Not a product of some scary, external circumstance.

We choose what we see. We choose what we carry with us into that cave.

And what is really remarkable that what led me to think about these things for the last two days was something I heard at an HR conference.

Three lessons from getting caught offline unexpectedly

Everyone runs into this at one point or another - a sudden, unexpected, and uncertain as to the duration period where you are knocked offline, out of contact, and unable to do just about any real work. It happened to me this week, and I have to admit I was not really unprepared as to how to make the best (or at least not have it be the worst), of a tough situation.

These days, even a short stint of being out of contact can quickly escalate into a pretty dire set of circumstances - incoming messages pile up at an alarming rate, people are not sure why you are not getting back to them, (since you didn't know you needed to alert them), and certain folks begin to resort to alternate/additional means of contacting you when Option 'A' fails. To the person who followed up their email to me with a call, text, LinkedIn message, Twitter DM, AND Facebook message - this one is directed at you.

So what did I learn from the aftermath of being offline and off-guard for a few days that might help me be better able to handle such a situation should it occur again in the future? I can think of three big and simple things, plus one request for a tool that if it existed, would have helped me out immensely.

1. Making sure I had the actual phone numbers programmed into my phone of the most important 5 people that I am currently worknig with on various projects.  When you rely on email for about 95% of your work communication, and you are forced into a situation where you only have access to a phone, (and no charger), have extremely limited windows of time where you can work,  then trying to get much of anything done in email only for an extended period is just about impossible. Sometimes you have to just connect via phone to get anything done, and not having all of the numbers I needed at hand was a huge barrier to getting anything done.

2. Figuring out how to set up an 'Out of the Office' auto-responder when having access only to the email apps on my phone. Like I mentioned, I was caught off guard to being out of touch and I didn't know how long I would be essentially out of reach. From the apps I use on my phone for my various email accounts, I was unable, (given my limited time and attention), to set up the classic 'Out of the Office' auto-responders that while not perfect, at least would have given people trying to get in touch with me a general sense of what to do or expect. I need to figure out how to make that work.

3. Setting up 'smarter' email filtering. In the few moments I had to take a look at my email, I was simply overwhelmed with the volume of 'non-essential' messages I had to sift through in order to find the ones that did, truly matter. I have to take some time, find some add-on tools if needed, and set up a smarter system for tagging and filtering incoming messages to keep the Inbox clean of non-important items and more easily surface what is actually important. When you are working only with a phone, in very short time intervals, you need to only see what is needed.

So those are the three things I need to do to be ready to handle this situation the next time it comes up. But there is one thing I don't know how to do at all, because I don't think it exists, and that is how to set up the equivalent of the email 'Out of the Office' auto-responder on all of the other ways that people try and connect these days. Like I mentioned, when some emails were going unresponded to, I started getting LinkedIn messages, Twitter mentions, and texts, and there is not any way that I know of to have one, universal, 'Out of the office' that would cover all of these methods and platforms. Which is why, I continue to contend, they are mostly terrible for business communication. So please, someone build a tool (and it has to be an App), that can make the 'Out of the Office' universal across other apps and platforms besides email.

No access

I am in Beijing, China for the next few days and as is my tendency to be mostly unprepared as to the details of the places to which I travel, I was surprised to learn upon arriving that access to many of the apps and services I have come to rely upon, (Gmail, Google Drive, Hangouts, Twitter, Hootsuite, Instagram, and a few others), are essentially blocked here.

So if you are trying to get a hold of me by any of the above means, well, I pretty much won't be reachable until Tuesday or Wednesday.

If you really, really, need to reach me for some reason you can try to email at steveboese at hotmail, that service for whatever reason is accessible here.

This is a really interesting place, and I kind of like the fact that I have been able to enjoy it a little more closely and attentively, not being constantly distracted by emails, tweets and the like.
